Purpose of the Role
The Administrative Officer will play a key role in delivering administrative and technical support to the Roads and Transport Services Section. This includes coordinating essential processes, implementing operational systems, and ensuring the smooth management of assets and fleet services. The successful candidate will be at the heart of operations, enabling the department to achieve its service delivery objectives effectively.
Key Responsibilities
The role is varied and dynamic, with responsibilities that include:
- Maintenance Support: Creating and finalising service requests, capturing maintenance data, and archiving all relevant documentation such as timesheets, quotations, and purchase forms.
- Procurement Assistance: Initiating purchase requisitions for goods and services, tracking approval processes, and ensuring goods are collected, loaded, and delivered to operational points as needed.
- Fleet Management: Managing fleet information, ensuring vehicle availability and reliability, overseeing vehicle registration/deregistration in the IMIS system, and handling insurance claims for accidents within strict timeframes.
- Performance Reporting: Assisting with monthly performance reports, allocating service requests, and supporting foremen in coordinating operational tasks.
- Asset Control: Conducting periodic verification of movable assets to ensure accurate records and compliance.
Minimum Requirements
Applicants must meet the following criteria:
- Education: Grade 12 (Matric).
- Experience: Minimum of six months’ relevant work experience in operational administrative support, fleet, and asset control services.
- Skills: Proficiency in computer use, with experience in SAP systems being an added advantage.
- Other: Must be willing to undergo a criminal record check and fingerprinting with the Tshwane Metro Police Department at the applicant’s own cost.
