An exciting opportunity has opened up for an Administrators to join our team and provide essential administrative support across multiple operational areas. This role is critical to ensuring the smooth running of our division, including billing, reporting, procurement, fleet management, and overall office administration. Purpose of the Role
The Administrator will play a central role in supporting various teams across the division, particularly during high-pressure periods such as month-end billing and audit preparations. This role requires someone who is highly organised, efficient in handling reports, skilled in procurement processes, and able to manage multiple administrative tasks with precision. The successful candidate will also contribute to fleet administration and play a key role in supporting national operations across more than 140 sites.
Key Responsibilities
Month-End Billing and Reporting Support
- Assist multiple sites with month-end billing processes, ensuring all financial data is captured accurately and submitted on time.
- Provide support with audit preparation for each site on a monthly basis.
- Consolidate absenteeism, staff movement, and injury-on-duty (IOD) reports across sites.
- Process and consolidate stationery and PPE schedules for national teams.
Administrative Support to the Division
- Raise and manage general ad hoc orders using the Embrace system.
- Process PPE and stationery orders for more than 140 national sites through Embrace.
- Oversee procurement and ensure the distribution of PPE across all sites.
- Consolidate and compile divisional reports covering a wide range of operational areas.
- Assist in managing overtime, attendance, and leave records, ensuring reports are accurate and up to date.
- Maintain and update the asset register twice annually.
- Record and type meeting minutes, action items, and ensure proper documentation is filed.
- Monitor compliance with the POPIA schedule by coordinating document shredding for the division.
- Coordinate and manage internal and external meetings, including scheduling, logistics, and follow-ups.
Fleet Administration Support
- Generate fleet reports, including data on transgressions, tyre surveys, and professional driving permit (PDP) expiry tracking.
- Support ongoing fleet projects such as the Red Rim Project and the rollout of Ctrack.
- Manage spare wheels across the division and maintain an accurate record of spare keys.
Minimum Requirements
- Grade 12 (Matric) – essential qualification.
- Strong organisational and multitasking skills with the ability to manage deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) with a focus on data analysis and reporting.
- Excellent verbal and written communication skills.
- Ability to compile, consolidate, and analyse reports effectively.
- Detail-oriented, accurate, and able to spot discrepancies quickly.
- Strong problem-solving skills and sound decision-making abilities.
- Ability to work independently while also supporting a wide range of stakeholders across multiple sites.
