Purpose of the Job
The Documentation & Data Capture Clerk will play a central role in ensuring that all documentation is accurately captured, managed, and maintained within the Freightware system. The position requires a high level of attention to detail, organisational skills, and the ability to follow procedures to ensure efficiency, compliance, and customer satisfaction.
Key Responsibilities
Operations
- Verify and check the daily manifest for any scanning inconsistencies.
- Update and change the order status on the system as required.
- Capture local delivery manifests to ensure all daily deliveries are processed correctly.
- Communicate with branches via email regarding returns and damaged goods.
- Accurately capture outgoing consolidation documents and manifests.
- Investigate and resolve any discrepancies identified in manifests or system records.
- Generate manifests on the system for deliveries and collections.
- Inspect and record any damaged parcels.
- Book cargo on the system according to specific instructions or special delivery/collection requests.
- Manage the capturing of consolidation delivery manifests and perform debriefing of Linehaul manifests and collection bookings.
Administration & Reporting
- Capture and update daily collection and delivery reports.
- Confirm customer information before any parcels leave the branch to ensure accuracy.
- Verify service types and ensure they are correctly recorded.
- Double-check all manifest information before finalising entries on the system.
- Capture manifest data accurately and systematically.
- Continuously check for and correct scanning inconsistencies to prevent errors.
Customer Relations
- Communicate with the Customer Service Department (CSD) via email to resolve queries.
- Follow up on issues related to damages, collections, and returns.
- Provide efficient and timely responses to ensure customer satisfaction.
General Duties
- Support operational functions where needed, demonstrating flexibility and teamwork.
- Assist with other tasks that may be required within the operations division.
Minimum Requirements
To be considered for this position, candidates should meet the following criteria:
- Grade 12 (Matric) qualification.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Good typing skills with the ability to work efficiently under pressure.
- Strong attention to detail and commitment to accuracy.

- High level of attention to detail and the ability to identify and correct discrepancies.
