As the first point of contact for patients, doctors, and other stakeholders, the Admin Clerk / Receptionist will play a vital role in ensuring that all samples, queries, and communications are handled efficiently and professionally. Minimum Requirements:

  • Educational Background:
    • Grade 12 or an equivalent NQF level 4 qualification.
    • A BSc Degree will be considered advantageous.
  • Experience:
    • 0–1 year of relevant working experience (graduates or entry-level applicants are welcome).
  • Technical Knowledge:
    • Familiarity with organisational policies and procedures.
    • Basic computer literacy.
    • Knowledge of laboratory information systems will be an added advantage.

Key Responsibilities:

As an Admin Clerk / Receptionist, your responsibilities will include:

  • Sample Administration:
    • Administer sorting and distribution of samples according to standard operating procedures.
    • Process sample registration (“logging”) and handle queries as per company guidelines.
    • Ensure dispatching of specimens and monitoring progress to meet turnaround times.
  • Operational Support:
    • Conduct hospital rounds to deliver reports and collect samples.
    • Track courier deliveries to ensure specimens reach designated laboratories timeously.
    • Investigate and resolve pre-analytical process bottlenecks.
  • Reception & Customer Care:
    • Manage the reception area, provide relevant information, and direct clients appropriately.
    • Handle administrative queries and customer complaints, ensuring timely resolution.
    • Apply professionalism, confidentiality, and empathy when dealing with patients, including those who may be distressed or nervous.
  • Administrative Duties:
    • Prepare and scan patient forms into the laboratory system (Oculus), resolving scanning issues.
    • Receive cash from patients, process transactions, and ensure banking according to procedures.
    • Monitor stock levels, place orders, and ensure timely delivery to doctors’ rooms.
    • Report incidents, log complaints, and action tasks on the laboratory information management system.
  • Compliance & Housekeeping:
    • Maintain cleanliness and organisation in the working area.
    • Follow dress code and uniform protocols.
    • Ensure all work complies with relevant organisational policies and standard operating procedures.
