An exciting opportunity has opened up for a skilled Administrative Assistant to join a dynamic Retail Inland Sales Team in Johannesburg. This is a full-time role that offers exposure to multiple stakeholders and provides an opportunity to play a key role in ensuring the smooth functioning of sales operations.

The successful candidate will act as the central point of support for the Retail Inland Sales Team, working closely with the Regional Sales Manager, Sales Managers, and Territory Managers to streamline processes, coordinate key engagements, and manage administrative functions. This position is designed for someone who thrives in a fast-paced environment and who has the ability to manage multiple responsibilities while maintaining high levels of professionalism.


Key Responsibilities

As an Administrative Assistant, you will be entrusted with a variety of duties that ensure the team operates efficiently and effectively. Some of the core responsibilities include:

  • Administrative Coordination: Provide day-to-day administrative support to the Inland Retail Sales Team, ensuring seamless communication between team members and stakeholders. Act as the first point of contact for queries and direct them appropriately.
  • Confidential Support: Handle sensitive information with discretion while providing professional and confidential support services to the sales team.
  • Scheduling & Engagements: Maintain calendars and coordinate retailer engagement schedules for Retail Territory Managers. Assist in organizing events, meetings, and training sessions, ensuring everything runs smoothly.
  • Customer Service: Assist with customer queries, provide timely responses, and follow up on outstanding issues to ensure customer satisfaction. Step in as caretaker for Territory Managers during emergencies.
  • Travel & Logistics: Arrange travel for the National Sales Manager/Head of Sales & Operations, ensuring cost-effective and efficient planning.
  • Procurement & Finance: Manage purchase orders, request and receive vendor quotes, load vendors on the Procurement SharePoint site, and liaise with vendors and accounts payable for invoice queries.
  • Meeting Support: Book venues, arrange catering, prepare meeting materials, take accurate minutes, and track action items for various meetings, including performance reviews, monthly business reviews, stewardship meetings, and retailer engagements.
  • Project Participation: Support the team in special projects and initiatives, contributing with administrative expertise.
  • Budget Tracking: Provide administrative support in tracking and monitoring budgets to ensure effective financial oversight.
  • Onboarding & Training: Assist with new employee onboarding in collaboration with IT and HR, ensuring that all necessary documentation is submitted. Coordinate training schedules and assist with team development initiatives.

Qualifications and Experience

To be considered for this role, candidates should meet the following requirements:

  • Educational Qualification:
    • Matric (Grade 12) or equivalent qualification.
    • A tertiary qualification in Executive Office Administration or equivalent will be an added advantage.
  • Work Experience:
    • At least 3 years’ proven experience in an administrative role.
    • Experience in providing executive or team support will be highly advantageous.
  • Skills and Competencies:
    • Strong organizational and time-management skills.
    • Excellent written and verbal communication abilities.
    • Ability to manage multiple priorities and work under pressure.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
