The Department of Co-Operative Governance and Traditional Affairs is inviting applications from suitably qualified and motivated individuals to join its Supply Chain Management Directorate as an Admin Clerk: Purchasing and Stores. Job Purpose
The main responsibility of this position is to provide administrative and clerical support within the Supply Chain Management unit. The successful candidate will be tasked with ensuring that purchasing, procurement, and store-related functions are managed effectively and in line with relevant legislative frameworks and departmental policies.
This role is ideal for individuals with strong organizational skills, attention to detail, and the ability to thrive under pressure.
Requirements
To be considered for this position, applicants must meet the following minimum requirements:
- Educational Qualification: A Matric certificate.
- Experience: At least 1–2 years’ working experience in an Asset Management environment.
- Knowledge and Competencies:
- Solid understanding of the Public Finance Management Act (PFMA), Treasury Regulations, PPPFA, SAP, and Supply Chain Management legislation.
- Familiarity with basic accounting principles.
- Practical experience in SRM and SAP systems.
- Computer literacy, particularly in MS Word and MS Excel.
- Analytical and numerical ability.
- Strong organizational and communication skills.
- Ability to perform under pressure and manage multiple tasks.

Key Duties and Responsibilities
The successful candidate will be expected to perform a range of duties, including but not limited to:
- General Clerical Support Services:
- Record, organize, store, and capture data and correspondence.
- Maintain registers, statistics, and filing systems.
- Handle routine enquiries, photocopies, faxes, and distribute documents/packages.
- Type correspondence and manage incoming and outgoing document registers.
- Supply Chain Clerical Support:
- Liaise with internal and external stakeholders regarding procurement processes.
- Obtain quotations and complete procurement forms for purchasing standard office supplies.
- Monitor and manage stock control of office stationery.
- Maintain the asset register for the component.
- Personnel Administration Support:
- Manage leave registers and attendance registers for the unit.
- Maintain accurate personnel records.
- Arrange travel and accommodation for staff when required.
- Financial Administration Support:
- Capture and update expenditure records.
- Verify subsistence and travel claims before submission for approval.
- Manage petty cash and telephone accounts for the unit.
