Key Purpose of the Role
The successful candidate will be responsible for:
- Managing, processing, and filing customer documents.
- Performing finance administration duties as instructed by a supervisor.
- Supporting the warehousing team in handling receipts, dispatches, billing, and inventory control.
- Ensuring compliance with both company standards and industry regulations such as ISO and OHSAS.
Minimum Qualifications & Experience
Education:
- Matric (Grade 12) is required.
Experience:
- 1–2 years in a related field. Previous warehousing experience is highly advantageous.
- Sound knowledge of accounting and administrative practices with keen attention to detail.
- Customer service experience is essential.
- Exposure to ISO and OHSAS systems.
- Familiarity with Warehouse Management Systems (WMS) such as CW1 or ISC is a plus.
- Knowledge of hazardous chemicals and working in specialized environments will also be beneficial.

Key Responsibilities
1. Planning & Organising
As the backbone of the documentation process, the Admin Clerk ensures that all files are accurately managed, scanned, and stored. Daily responsibilities include verifying documents, managing receipts, and supporting the team with updated records.
2. Receipts Management
- Collecting and filing critical documents such as Material Safety Data Sheets (MSDS), packing lists, and delivery notes.
- Capturing and finalizing receipts in CW1.
- Coordinating with clients to ensure receiving documentation is properly processed.
- Sending timely communication updates to clients and internal stakeholders.
3. Dispatch Operations
- Ensuring all documents are verified before dispatch.
- Capturing client delivery notes accurately in CW1 or ISC.
- Coordinating with supervisors for picking slips and verifying dispatch accuracy.
- Handling discrepancies promptly and alerting supervisors of issues.
4. Billing Functions
- Updating billing records daily for receipts and dispatches.
- Ensuring all transactions are documented and reconciled for client reference.
5. Inventory Management
- Maintaining updated stock reports.
- Investigating and documenting variances thoroughly.
- Communicating discrepancies to both clients and management.
- Reconciling physical stock counts with system records and conducting regular cycle counts with client staff (e.g., Huawei).
- Ensuring monthly stock counts are completed for all clients.
6. Warehouse Management System Maintenance
- Performing bin-to-bin transfers accurately and on time.
- Grouping and managing items to keep the system aligned with physical stock.
