As an Administrator: Service Advisor, you will play a vital role in ensuring seamless coordination within the service department. Your primary focus will be on managing the workflow between service advisors, foremen, technicians, and customers. The position requires excellent organizational skills, strong attention to detail, and the ability to maintain high levels of customer satisfaction.
Your day-to-day responsibilities will include monitoring service bookings, updating customers on progress, ensuring compliance with Mercedes-Benz South Africa (MBSA) requirements, and providing essential support to colleagues across the service department.
This role is designed for someone who is not only detail-oriented but also a strong communicator and problem solver, capable of building and maintaining positive relationships with both customers and internal stakeholders.
🛠 Key Responsibilities
Service Department Coordination
- Ensure the efficient opening and closing of the workshop each day.
- Oversee the security of customer vehicles, ensuring they are locked safely and keys stored securely.
- Manage the flow of vehicles, including parking and key management.
- Coordinate with technicians, foremen, and service managers to ensure smooth operations.
- Ensure vehicles with specific customer complaints are test-driven with a Foreman or Quality Controller before handover.

Customer Service Excellence
- Provide timely and professional updates to customers regarding their service bookings.
- Ensure accurate diagnosis and communication of customer-reported issues.
- Deliver continuous feedback to customers on service progress, costs, and potential delays.
- Handle customer queries and complaints with professionalism and empathy.
- Guarantee vehicles are pre-costed, invoiced, and ready for collection on time.
Administrative Duties
- Handle the pre-writing of job cards to streamline workshop operations.
- Record non-warranty claims accurately.
- Monitor and manage Work In Progress (WIP) effectively.
- Assist with outstanding payments and monitor cash flow related to service operations.
- Follow up on parts ordered to ensure timely delivery in line with MBSA’s 5-day turnaround requirements.
Team Collaboration
- Assist colleagues across the department, including the Service Manager, Foreman, Controller, and Receptionist.
- Support technicians by ensuring quotes and job details are accurate and communicated quickly.
- Contribute to creating a supportive, professional, and customer-focused service environment.
🎓 Qualifications and Experience
To succeed in this role, candidates must meet the following minimum requirements:
- Matric / Grade 12 certificate.
- Computer literacy (experience in Kerridge will be an advantage).
- 2–3 years’ experience in a similar role within the motor industry.
- Mercedes-Benz certification as a Service Advisor is preferred.
- Solid knowledge of the automotive sector is advantageous.
