Purpose of the Job
The Administrative Assistant will provide day-to-day administrative support to their assigned department. This role is central in ensuring smooth office operations, efficient document handling, and effective communication across teams and stakeholders. The successful candidate will also contribute to compliance, record management, and meeting coordination to help the department achieve its goals.

Key Responsibilities
✅ Compliance Administration
- Maintain updated documentation for departmental activities.
- Ensure compliance with internal policies, processes, and control standards.
- Stay informed about internal standards and goals to ensure alignment.
✅ Office Coordination
- Handle filing, correspondence, telephonic queries, and general office admin.
- Ensure confidentiality in all matters.
- Track outstanding matters and follow up with relevant stakeholders.
- Manage stationery supplies for the department.
- Validate documents for accuracy and capture them onto internal systems.
- Allocate reference numbers and ensure correct document processing.
- Draft and dispatch stakeholder letters when required.
✅ Meeting Support
- Arrange meetings and schedule appointments with stakeholders.
- Take and distribute minutes in line with governance standards.
- Maintain registers for outstanding items and track follow-ups.
- Assist in managing diaries for the team and department leaders.
✅ Document & Records Management
- Administer filing systems according to RAF’s filing plan.
- Retrieve information when required and ensure confidentiality of records.
- Log and file incoming documents, assigning reference numbers.
- Ensure filing systems are always functional and up to date.

Minimum Requirements
📌 Qualifications
- Matric / Grade 12 certificate is essential.
📌 Experience
- At least 1 year of experience in an administrative or similar role.
📌 Competencies

Technical:
- Computer literacy in MS Word, Excel, and PowerPoint.

- Basic knowledge of Supply Chain Management (SCM) processes.
- Basic financial understanding.
