🎓 Minimum Requirements

To be considered for this position, applicants must meet the following criteria:

  • Education: Matric / Grade 12 certificate.
  • Experience: At least 1 year of relevant administrative or secretarial experience.
  • Skills:
    • Excellent telephone etiquette and customer service approach.
    • Strong computer literacy, including Microsoft Word, Excel, and Outlook.
    • Good verbal and written communication skills to engage with stakeholders at different levels.
    • Excellent organisational and time management abilities.
    • High level of reliability, discretion, and professionalism.
    • Knowledge of Public Service prescripts, policies, and procedures will be an added advantage.

🧾 Key Responsibilities

As an Administrative Assistant, you will play a vital role in ensuring that office operations run smoothly and efficiently. Your day-to-day responsibilities will include:

  1. Administrative & Secretarial Support:
    Provide full secretarial assistance to the Managers and their teams, ensuring that administrative processes are handled with accuracy and confidentiality.
  2. Communication & Correspondence:
    Receive and manage telephone calls, emails, and written correspondence. Refer queries to the right people and ensure timely responses.
  3. Document Management:
    • Type and format official documents, memos, and reports.
    • Handle both incoming and outgoing mail.
    • Maintain an efficient filing and record-keeping system.
  4. Office Operations:
    • Operate office equipment such as printers, copiers, and scanners.
    • Manage stationery and refreshment supplies.
    • Process invoices, purchase orders, and standard procurement requests.
  5. Meetings & Events:
    • Arrange and coordinate meetings and workshops.
    • Identify suitable venues, prepare documents, and organise refreshments.
    • Record minutes and ensure timely distribution to all participants.
  6. Travel Arrangements:
    • Liaise with travel agencies to arrange official trips for managers.
    • Process travel and subsistence (S&T) claims and ensure all documentation is complete and accurate.
  7. Leave and Attendance Administration:
    • Maintain and update leave registers.
    • Track staff attendance and assist with monthly reporting.

By performing these duties with precision and dedication, you’ll help the Department achieve its operational goals and deliver excellent service to both internal and external stakeholders.
