💼 Role Overview

As a Records Clerk, you will be responsible for ensuring the timely and accurate distribution of both internal and external correspondence, including files, courier parcels, and newspapers across the organization. Your role will play a vital part in guaranteeing the smooth flow of information across departments, supporting operational efficiency, legal compliance, and business continuity.

You will work closely with colleagues in Records Management to ensure documents are handled according to established procedures, safeguarded properly, and easily retrieved whenever needed. This role requires a strong sense of responsibility and the ability to pay attention to detail, especially when dealing with categorized and confidential information.


📝 Key Responsibilities

Your day-to-day duties will include, but are not limited to:

✅ Allocation and distribution of newspapers according to approved management listings
✅ Collection and delivery of files, postal items, correspondence, and courier packages across departments
✅ Clearing and movement of physical records, ensuring no backlogs in file flow
✅ Scanning and barcoding of files and workstations using the Records FTS System for easy digital tracking
✅ Sorting files into appropriate categories before storage
✅ Filing records carefully in designated secure storage areas such as Records Safe and basement archives
✅ Handling file retrieval requests efficiently and ensuring proper record return procedures
✅ Supporting Records Officers in general administrative tasks as needed

🎯 Minimum Requirements

To be considered for this opportunity, applicants must meet the following criteria:

📌 Grade 12 / National Senior Certificate (NQF Level 4)
📌 At least 1 year working experience, preferably in an office or administrative environment
📌 Computer literacy, including working knowledge of Microsoft Office packages (Word, Excel, Outlook)

A background in records, information management, or clerical duties will be advantageous.
