Purpose of the Position

The primary objective of the Administrator: Costing role is to maximize the profitability of the Service Department through effective management of costing processes and warranty claims. The position ensures that all financial and administrative functions related to service operations are carried out in line with OEM and dealership policies, while maintaining the highest levels of customer satisfaction and compliance.


Key Responsibilities

As part of the Service Department, the Administrator: Costing will perform duties that contribute directly to operational efficiency and profitability. Responsibilities include:

1. Customer Satisfaction and Service Quality

  • Process all warranty claims in line with OEM and dealership standards.
  • Liaise with internal service teams and external OEM representatives to resolve warranty and costing queries promptly.
  • Maintain a strong focus on customer service excellence, ensuring that every process supports customer satisfaction and dealership reputation.

2. Campaign Coordination and Communication

  • Act as the Campaign Coordinator and Service Core Processes Gatekeeper.
  • Download and distribute relevant campaign information from Partner Net to the Service Manager and other key personnel.
  • Monitor progress and follow up on outstanding issues related to campaigns and recalls.

3. Warranty and Costing Administration

  • Perform quality control checks throughout the four service core process gates:
    • Gate 1: Checking before loading on the system.
    • Gate 2: Pre-repair commencement.
    • Gate 3: Quality verification.
    • Gate 4: Costing and final checks.
  • Prepare and submit warranty claims accurately and on time.
  • Return defective parts to the manufacturer as required, following established OEM procedures.

4. Compliance and Documentation

  • Ensure all documentation, including warranty submissions, service reports, and costings, are complete and correctly filed.
  • Uphold high standards of integrity, confidentiality, and compliance with dealership and OEM policies.

Minimum Qualifications and Experience

To be considered for this position, applicants must meet the following criteria:

  • Qualification: Higher Certificate or Advanced National (Vocational) Certificate (NQF Level 4 or higher).
  • Driver’s License: Valid South African driver’s license.
  • Experience: Minimum of 1 year of administrative experience in a similar environment (preferably in an automotive dealership).
  • Technical Knowledge: Familiarity with VW warranty and costing policies as well as OEM operating systems will be a distinct advantage.
  • Computer Literacy: Proficient in Microsoft Office Suite and related administrative systems.
