🌱 About the Role

The Administrative Controller in the Learning and Development (L&D) function plays a crucial part in ensuring the smooth running of all training and staff development programs across the business. This position involves planning, organizing, and managing all logistical and administrative aspects of learning interventions, ensuring that every training event runs efficiently and effectively.

As part of the Human Resources department, you will work closely with internal stakeholders, external service providers, and learners to ensure that the learning process contributes meaningfully to employee growth and organizational success.


🎯 Key Responsibilities

As the Administrative Controller: Learning & Development, your day-to-day responsibilities will include:

  • Coordinating learning logistics:
    Plan and manage all aspects of training logistics, including booking venues, arranging catering, and ensuring all necessary materials and equipment are prepared in advance.
  • Communication and coordination:
    Communicate with delegates before, during, and after training sessions to ensure smooth participation and address any logistical concerns.
  • Liaising with service providers:
    Collaborate with external training providers to confirm course details, attendance requirements, and vendor registration processes. Handle purchase orders and payment arrangements for these providers.
  • Travel and accommodation management:
    Organize travel, flights, and accommodation arrangements for both employees and external trainers when required.
  • Administrative duties:
    Maintain accurate training records, track attendance, and manage bursary-related documents for both employed and unemployed bursars. Ensure all administrative tasks comply with internal quality standards.
  • System management:
    Administer and maintain the Learning Management System (LMS) and Quality Management System (QMS). Keep these platforms updated with current data, training records, and learning materials.
  • Record keeping and reporting:
    Compile and maintain learning and development reports, training calendars, and presentations. Ensure all learning records are up to date and accessible.
  • Support organizational initiatives:
    Provide support during company-wide initiatives such as the Best Company to Work For survey and internal L&D functions or recognition events.

💼 Minimum Requirements

To be considered for this role, applicants should meet the following minimum requirements:

  • Education: Grade 12 / National Certificate (NQF Level 4)
  • Experience: Previous administrative experience within a learning and development or HR environment will be advantageous.
  • Language: Excellent command of Business English (both verbal and written).
  • Computer Literacy: Intermediate proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook).
  • Knowledge: Understanding of L&D processes, systems, and reporting structures.
