The primary purpose of the Administrative Officer position is to provide comprehensive and accurate administrative support to the Maintenance Department. 📘 Key Responsibilities

In this role, you will play a critical part in the administrative backbone of the maintenance division. Some of your main responsibilities will include:

  • General Administrative Tasks: Supporting the department with day-to-day paperwork, documentation, and system updates.
  • Office Supply Management: Ordering, receiving, and managing office supplies and maintenance-related materials to ensure uninterrupted workflow.
  • Data Capturing & Reporting: Capturing maintenance data, generating reports, and preparing information for management to help with decision-making.
  • Technical Library & Filing Management: Keeping maintenance documentation, manuals, and technical records organized and updated.
  • Departmental Communication: Assisting the “Way Better” teams with internal communication, coordinating requests, and ensuring information flows efficiently.
  • EAM System Administration: Maintaining Enterprise Asset Management (EAM) system documentation, collecting work orders, and assisting with system queries.
  • Purchasing & Engineering Stores Administration:
    • Creating purchase orders and routing them for approval
    • Placing orders with vendors
    • Receiving and verifying invoices
    • Allocating invoices correctly and handling related queries
  • Policy Compliance: Ensuring all administrative processes and documents adhere to company standards and departmental policies.
  • Stock & Delivery Documentation: Recording deliveries, updating the EAM system, and ensuring proper documentation is filed and stored.
