Motus Isuzu Isando is offering an exciting opportunity for a focused, detail-driven and performance-oriented individual to join their team as an Administrator: Dealer Warranty. This position forms a key part of the Service Department and reports directly to the Service Manager. The successful candidate will ensure all warranty claims are processed accurately, timeously and in strict alignment with the company’s policies and procedures. This role is essential to maintaining high service standards, strengthening customer confidence, and supporting efficient workshop operations.
🔧 Role Purpose
The Administrator: Dealer Warranty is responsible for managing the complete warranty claim process — from gathering documentation and confirming technical details to processing claims and ensuring payment is received. The role also plays a critical part in maintaining compliance with distributor guidelines and internal audit expectations. Candidates must be resilient, organised, and able to uphold high levels of accuracy while managing multiple tasks under pressure.
🔑 Key Outputs & Responsibilities
In this role, the successful candidate will be responsible for:
📄 Administrative & Documentation Control
- Matching invoices, outwork invoices, and orders to their corresponding job cards.
- Verifying that repair orders are correctly signed by the customer.
- Ensuring technicians’ work records and clocked times are complete and accurate.
- Collecting parts department confirmations for supplied parts, validated by the Service Advisor.
- Managing all paperwork required for warranty claims, including supporting documentation, complaint details, and defect causes.
- Ensuring all warranty parts are tagged correctly, stored daily, and forwarded timeously according to procedure.
💸 Financial & Account Processing
- Performing calculations using the correct mark-ups and pricing structures.
- Clearing accounts with debtors proactively.
- Handling invoicing activities and applying relevant mark-ups.
- Checking and updating the suspense file daily to avoid outstanding issues.
- Controlling the warranty claims register and monitoring claim statuses to ensure timely payment.
🛠 Warranty Processing & Compliance
- Assessing vehicles for eligibility for warranty work in line with company and distributor guidelines.
- Submitting accurate and complete warranty claims while ensuring adherence to processes.
- Continuously reporting claim statuses to the Service Manager.
- Attending training courses offered by the distributor to remain updated on warranty and technical requirements.
🤝 Additional Support
- Providing general assistance within the department when required.
- Supporting customer relationship management through high-quality administrative practices.
- Assisting with any other duties aligned with the smooth functioning of the service department.
🎓 Minimum Qualifications & Experience
To qualify for this role, applicants must have:
- Grade 12 (Matric) – compulsory
- 3+ years Warranty Admin experience
- Experience in the motor industry is a strong advantage
- Excellent verbal communication skills
- Strong computer literacy and proficiency in administrative systems
