Main Purpose of the Job
The primary purpose of the Unit Administrative Assistant role is to deliver optimal administrative and operational support within the nursing unit. The successful candidate will assist with day-to-day administrative tasks, patient administration processes, pharmaceutical stock control, and reception services. This position is critical in ensuring that the nursing unit functions efficiently and that patients receive professional, well-organised service from admission to discharge.
Key Responsibility Areas
The Unit Administrative Assistant will be responsible for a wide range of administrative and support duties, including but not limited to:
- Performing general administrative duties within the nursing unit
- Assisting with patient administration functions, including admissions, discharges, and record updates
- Managing and maintaining accurate patient records and documentation
- Supporting the control and monitoring of pharmaceutical stock, ensuring correct recordkeeping and stock control processes
- Delivering a professional and courteous reception service to patients, visitors, and healthcare professionals
- Handling telephone calls and directing queries appropriately
- Capturing data accurately on relevant patient administration systems
- Assisting with compliments and complaints management, ensuring issues are recorded and escalated according to hospital procedures
- Supporting nursing staff by ensuring administrative processes run smoothly and efficiently
Required Education
- Essential:
- Grade 12 (Matric)
- Computer literacy as a school subject or an additional computer literacy certificate
- Desired:
- Reception, Secretarial, Personal Assistant, or Administration training
Required Experience
- Essential Minimum Experience:
- No prior work experience required
- Desired Experience:
- Previous administrative experience in a healthcare or hospital environment will be an advantage
