Position Overview

Main Purpose of the Job

The main purpose of this role is to assist patients with all aspects of hospital admissions and discharges in a professional, courteous, and efficient manner. The Reception Administrator is expected to exceed client expectations while ensuring compliance with hospital policies, maintaining patient confidentiality, and preventing any operational or financial risks to the organisation.

Key Responsibilities

As a Reception Administrator, your duties will include, but are not limited to, the following:

  • Capturing and processing patient admissions, including pre-admissions and bookings, in line with established procedures.
  • Ensuring all patient information is accurate, complete, and recorded timeously on the relevant hospital systems.
  • Identifying and preventing potential financial risks by adhering strictly to Mediclinic’s policies and procedures.
  • Managing the discharge process effectively in accordance with the Patient Administration Manual.
  • Maintaining strict patient confidentiality at all times and ensuring compliance with data protection standards.
  • Assisting with bed management, preparation for next-day admissions, and discharge planning.
  • Handling patient queries professionally and escalating issues where necessary.
  • Supporting hospital operations during emergencies or major incidents such as fires, floods, or security-related events.

Education Requirements

  • Essential: Grade 12 or equivalent qualification.
  • Desired: No additional qualifications are required.

This makes the role accessible to candidates who have completed matric and are eager to build or grow a career in healthcare administration.

Experience Requirements

  • Essential Minimum Experience: No prior experience required.
  • Desired Experience:
    • Previous reception or administration experience.
    • Experience working in a private healthcare facility.

While experience is advantageous, applicants without prior experience are encouraged to apply, provided they meet the minimum requirements and are willing to learn.

Required Skills and Knowledge

To be successful in this role, candidates should have knowledge or the ability to learn the following:

  • Use of the Debtpack Enquiry application, particularly for checking outstanding patient accounts and blacklisted statuses.
  • Admission and bed management functions, including preparation for admissions and discharge processes.
  • Basic anatomy and medical terminology.
  • Hospital switchboard systems.
  • Patient Administration policies and procedures, including confidentiality, cash handling, and managing blacklisted patients.
  • Patient administration programmes on the AS400 system.
  • Strong computer literacy, especially in Microsoft Office.
  • Understanding of ICD and CPT codes.
  • Knowledge of medical aid schemes and the private healthcare environment.
  • Familiarity with Workman’s Compensation Act (WCA) processes and procedures.
  • Ability to identify potential financial risks, such as handling patient valuables or managing blacklisted patients responsibly.
