The Administrative Assistant: Legal Costs Validation is responsible for the accurate allocation and validation of legal cost files and bills on the RAF’s legal cost system. Key Performance Areas

1. Office Administration

  • Pre-screen legal cost files and bills to ensure they belong to the correct RAF branch.

  • Stamp, sort, and separate fee analyses from taxations and block settlements.
  • Identify whether the bill relates to High Court merits, quantum, or both.
  • Determine if a bill/file should be redirected to another RAF region.
  • Scan, email, and prepare inter-regional files for delivery.
  • Update status and allocation of files in the claims viewing system.
  • Maintain accurate records of files with pending legal cost payments.
  • Track and manage the physical movement of files.
  • File documents, uplift and request files when necessary.
  • Respond to internal queries, such as lists of outstanding payments from the CEO’s office.
  • Retrieve bills from finance for verification purposes.
  • Answer phone calls from officers and attorneys, including urgent court-related queries.
  • Consult with assessors and attorneys.

2. Validation of Legal Cost Bills

  • Verify that bills correspond to the correct attorney and claim numbers.

  • Promptly allocate validated files and bills on the legal cost system within required deadlines.

3. Batching and Indexing

  • Print payment histories and record bills manually each day before they are submitted for officer review and payment approval.
  • Submit payment reports to finance within designated timeframes.

4. Reporting

  • Maintain daily statistics on work assigned and completed.
  • Submit accurate daily and monthly reports as required by management.

Minimum Qualifications and Experience

  • Educational Requirement: NQF Level 4 (Matric / Grade 12) – Essential
  • Experience: At least 1 year of experience in Claims, Litigation, Summons, Administration, Registration, or Data Capturing – Required
