REQUIREMENTS :

  • A Grade 12 certificate is required for applicants.
  • No prior knowledge necessary.
  • Job related knowledge:
  • Understanding of office procedures and duties, as well as the capacity to enter data, use a computer, and compile statistics.
  • a working knowledge and comprehension of the laws governing the public service.
  • understanding of working practices in terms of the workplace.

DUTIES :

  • Provide general administrative support services.
  • Keep track of, arrange for storage of, grab, and recover correspondence and data (line function).
  • Update statistics and records.
  • Answer common questions.
  • Create photocopies, receive facsimiles, and send them.
  • As needed, distribute documents and packages to appropriate parties.
  • Keep the component’s filing system up to date.
  • When necessary, type letters and/or other correspondence.
  • Maintain track of the component’s incoming and outgoing document register.
  • creating and taking minutes.
  • Provide administrative support for the supply chain inside the component.
  • Maintain communication with internal and external stakeholders regarding the purchase of products and services.
  • Get estimates fill out the necessary paperwork to purchase typical office supplies.
  • control over office supplies inventory.
  • Maintain a copy of the component’s asset registration.
  • Within the component, offer clerical support services for personnel administration.
  • Manage the component’s leave registration.
  • Maintain and update the component’s personnel records.
  • Maintain a copy of the component’s attendance record.
  • Make travel and lodging arrangements.
  • Provide the component support services for financial administration.
  • Record and update the component’s spending.
  • Verify the accuracy of the officials’ travel and subsistence claims before submitting them to the manager for approval.
  • Take care of the component’s petty cash and phone accounts.
