Description

The purpose of the role is to capture all instructions and documentation on MDA accurately and in the required time frame.  The role is secondly responsible for the reconciliations of tenant deposits. 

 

Capture all documentation and instructions accurately and within turnaround times on MDA.

  • To make sure that the documentation is processed within the allotted period, keep an eye on the date of receipt.
  • Organize the various lease turnaround timeframes for parking, commercial, and residential properties in addition to the instructions so that the lease is completed by the deadline.
  • Processing batches within the appropriate financial time is important.
  • Emails including debit orders, payments, and tenant receipts should be sent to Banking.
  • Every lease that is recorded needs to be signed and date stamped.
  • If a document is not properly authorized in accordance with the SODA, it should not be processed. Every document leaving the department should have a completed query register, which should be updated upon the return of query documents.
  • Ensure that all processed documents are accurate as agreed.

Reconcile and correct tenant deposits on MDA and closing of tenant accounts

  • Tenant deposits must be reconciled between the required and charged deposits according to the list provided by the data capture supervisor.
  • Fix leasing mistakes on deposits and inaccuracies in data gathering.
  • Make explicit notes about any deposit-related inquiries that remain unanswered.
  • Verify the accuracy of the bank guarantees, deposit notes, and deposit agreements.

General Administration

  • Make sure that the amounts on MDA are recorded, that details regarding new debit orders are loaded, and that details regarding current debit orders are adjusted to banking details.
  • Before billing runs, follow the instructions in the pending file.
  • Before month’s end, take care of the deposit arrangements in the deposit pending file.
  • help with the MDA database cleanup.
  • Create “closed” accounts on MDA so that banking and legal can record them.
  • help in batch capture for yearly utility increases.

  • Six months of typing and data collection experience are needed.
