Requirements :

  • At least Grade 12 or NQF 4
  • An extra benefit will be administrative and supply chain management knowledge.
  • Having a current driver’s license and being computer literate in Word, Excel, PowerPoint, and Outlook.

Duties :

  • The chosen applicant will be in charge of operational responsibilities, which will include carrying out routine administrative activities at the Chief Director’s office;
  • gathering, classifying, ensuring quality, and publishing quotes in accordance with the supply chain management’s Request for Quotation (RFQ) list;
  • making a price schedule and quotation spreadsheet;
  • electronic document capture;
  • filing of paperwork to stakeholders and GDoH Directorates located outside the District;
  • purchasing supplies and equipment for the office;
  • generating monthly reports and defining OLA processes in compliance with SCM guidelines.
  • Skills: Time management and organizational abilities.
  • Proficient in written communication and documentation, minute taking, record keeping, interpersonal relations, phone etiquette, professional etiquette, computer proficiency, and familiarity with the Microsoft suite (MS Office 365, including Word, Excel, Outlook, PowerPoint, and Microsoft Teams), among other things. Furthermore, the capacity for maintaining secrecy.
  • understanding of records management and information classification.
  • the capacity to function under duress.
  • familiarity with the laws governing the public sector, such as the Treasury Regulations, Public Service Act, Public Service Regulation, Public Finance Management Act, and Preferential Policy Framework Act.
