Requirements :

Duties :

  • Give the Director administrative support.
  • Handle the director’s mail and schedule; inform the director of any changes or appointments as well as any issues that need to be addressed right away on a daily basis.
  • Set daily goals, make sure to do assignments on time, and update the task tracker every day.
  • Respond to phone calls and screen communications, such as grievances and questions from staff members, public servants, and members of the public that are directed to the director.
  • As the director’s secretary, you will schedule meetings on time, create meeting packets, write up and distribute minutes, and handle follow-up with regard to action items and resolutions. You will also maintain action and resolution lists.
  • Provide the Director’s Office with an end-to-end document management solution.
  • Follow the Departmental file plan that has been approved.
  • Examine papers to make sure they adhere to the Departmental Corporate Standard and any applicable regulations.
  • To protect records, file papers appropriately and put access limits in place.
  • Create paperwork, put together reports, and carry out any other tasks the director assigns you.
