Overall goal of the position: The employee will be in charge of all paperwork, communication, filing, office administration, travel planning, scheduling, meetings, and interactions with clients, suppliers, and visitors while always adhering to the highest standards of confidentiality.
Duties & Responsibilities:
- To schedule and arrange all meetings with the general manager, clients, management, and individual employees
- recording minutes of meetings when necessary
- Make sure that minutes and agendas are distributed on schedule.
- Make sure to schedule meetings by phone or email.
- Make sure that meeting minutes are accurately recorded on a daily, weekly, or monthly basis.
- typing correspondence as needed
- To guarantee that all departing paperwork is given out
- Prioritizing and gathering the necessary data from all divisions, screening all correspondence and documents for the General Manager
- to take all calls and route them through the General Manager
- oversight of procurement orders and fleet repairs
- Help over the phone with any issues or grievances that are directed to the general manager
- Provide clients with thorough comments as needed.
- To arrange for the General Manager or other managers’ transportation and lodging
- Make sure your lodging and travel costs are within your means.
- to perform any ad hoc tasks that the HOD may occasionally need
- to help any employees who need to schedule a meeting with the general manager.
- Get commission claims ready for approval and review.
- Manage the FSD’s payroll by handling leave applications, paperwork, reconciliations, and related duties.
- helping the sales force with everyday tasks so that the team can accomplish its goals
- Help FSD employees with general administrative tasks
- handling and answering a large number of emails
- Retain a thorough understanding of Fidelity SecureDrive’s offerings and stay current on any changes.
- Help the group with ad hoc assignments.
Minimum qualifications and experience:
- Grade 12 / Matric
- Excellent communication skills both in writing and speaking
- capable of using computers (MS Office, Excel, PowerPoint)
- outstanding interpersonal abilities
- Excellent organizational abilities and the capacity to oversee multiple tasks concurrently
- The capacity to prioritize one’s own tasks
