Requirements:

  • Grade 12 or equivalent.

Knowledge and Skills:

  • Computer literate.
  • Good verbal and written communication skills.

Duties:

  • 1. Provide general clerical support services, such as capturing, organizing, storing, and retrieving data and correspondence (line function).
  • Update statistics and records. Respond to standard questions.
  • Create photocopies and send and receive faxes. As needed, distribute documents and packages to different stakeholders.
  • Preserve and keep up the component’s file system.
  • When necessary, type simple letters and/or other correspondence. Maintain the component’s incoming and outgoing registers.
  • 2. Offer clerical support services for the supply chain inside the component: Communicate with stakeholders both inside and outside the company regarding the purchase of products and services.
  • To buy typical office supplies, get quotes and fill out procurement paperwork.
  • Office stationery inventory control.
  • Keep the component’s asset register up to date.
  • 3. Within the component, offer clerical support services for personnel administration: Keep the component’s leave register up to date.
  • Maintain and preserve the component’s personnel records.
  • Keep the component’s attendance record up to date.
  • Make travel and lodging arrangements.
  • 4. Offer assistance with financial administration inside the component: Record and update component spending.
  • Verify the accuracy of the officials’ travel and subsistence claims before submitting them to the manager for approval.
  • Manage the component’s petty cash and phone accounts.
