Job Description

Motus Toyota Nelspruit currently holds a vacancy for an Administrator: Parts.

Reporting to the Parts Manager, the person in this position will be responsible for control the work flow of paper work pertaining to parts purchases, sales, credits and orders

Specific Role Responsibilities

  • Place orders every day.
  • Place a stock order using the Kerridge printout [after the manager has reviewed and approved it].
  • Put daily and stock orders into the system.
  • Make certain that the right items are ordered and paid for.
  • When necessary, complete DRs, RFCs, and price disparities.
  • As directed, remove any negative stock from the I05 Kerridge report that was received from the manager.
  • Help with the inventory count when needed
  • Complete stock take inputs from count sheets.
  • Make stock modifications after receiving manager approval.
  • Make sure you provide the best possible service when receiving parts and answering any questions from customers.
  • Maintain open lines of communication with drivers, salespeople, store employees, parts managers, and consumers.
  • Talk to the Manager about any questions you have about the parts inventory.
  • Notify the manager of any issues pertaining to parts.
  • Follow up on consumer inquiries about P.O.D.s and credits.
  • Keep track of purchases, invoices, and received credits.
  • Not receiving follow-up credits
  • Pay creditors by reconciling their accounts, including AMSA.
  • Answer inquiries about accounts reconciliation
  • Make sure your GRN/GIS account is current.
  • Acknowledge cash transactions and get ready to bank both cash and COD sales.
  • Make sure the cash account is current and that any unpaid balances are appropriate.
  • Keep track of and monitor suppliers’ under-, over-, and incorrectly supplied supply.
  • Make sure that every penny you get is safe.
  • After the manager gives the go-ahead, issue credit notes.
  • Do your part to maintain the house and keep the workspace neat and orderly at all times.
  • Attend scheduled training sessions and meetings as needed.
  • Complete any other appropriate tasks that may occasionally be needed.

Qualifications and Experience

  • A minimum of Matric
  • Unblemished Criminal History
  • Having knowledge about Kerridge will be very beneficial.
  • Experience in the motor sector is necessary.
  • Computer literacy is necessary.
