Purpose of the job:
Transporting persons, papers, and/or items to and from a designated location securely is the driver’s or messenger’s responsibility. When moving people, equipment, and/or documents, the incumbent must adhere to national-specific road safety rules and regulations and follow the proper safety measures. The position holder will also have to report any vehicle issues, accidents, traffic infractions, equipment loss or damage, and unforeseen delays. They must also follow work schedules.
Key Performance Areas
Messenger services
- Collect correspondence from the appropriate government agency, confirm receipt by comparing it to the list.
- Deliver messages or packages on schedule.
- Take care when handling documents and parcels.
- Deliveries should be driven to their location.
- At the recipient’s location, reconcile parcels.
- Continue to communicate with the departure and destination points.
- Obtain signatures or receipts for paperwork and deliveries.
- Keep a logbook with daily visitation records.
- To guarantee optimal efficiency, arrange deliverables according to the delivery path.
- After every delivery, check in with the office to confirm it.
- Send the paperwork to Document Services so that it can be distributed in accordance with SOP.
- Before embarking on a delivery mission, plan effective routes.
Administration
- Keep an eye on and ensure that requests for binding or copying are handled quickly and effectively.
- Always keep an eye on the availability of messenger services for delivering goods to clients, government agencies, financial institutions, etc.
- Make sure that the National Archives Act and the RAF’s RM goals and strategies are followed when archiving scanned files and documents.
- Documents should be sorted by class and inserted.
- Send the Records Manager the transfer (Metro-file) and requests for records that are no longer in use.
- Maintain a log of the records sent to off-site storage, prepare and capture the documents to be moved there, and forward them to Records Management.
- Get the index spread sheet for records files and monitor all updates for off-site records.
- Keep track of the department’s records, noting the retention duration, file plan reference number, and title of each record series as specified in the Records Retention Schedule (RRS).
- Fill out the destroyed final disposition log or register.
- Make sure the branch’s postal service facility is always running efficiently.

Transportation and Operation
- Load and unload merchandise for the organization.
- Deliver goods, supplies, and employees safely to the locations where they are required.
- Identify mechanical and electrical issues and notify the facilities manager.
Vehicle, Machinery & Equipment Maintenance
- To make sure safety regulations are followed, do daily vehicle inspections before and after trips.
- Make that the binding and copying equipment is kept in operational condition.
Reporting
- Report issues with cars, machinery, and equipment; accidents; traffic infractions; vehicle damage; or equipment loss.
- Make sure the car is always in good shape.
- In accordance with the Fleet Management Policy, provide logbooks.
- reporting unforeseen hold-ups.
- Provide an update on the franking machine’s technical upkeep and money loading procedures.
- Inform the supervisor right once of any significant equipment issues that need the service provider’s attention.
Process incoming / outgoing mail and mail batching
- Receive, record, and stamp all correspondence, both inbound and outbound.
- Sort incoming papers and faxes by destination and separate them.
- Make sure that all documents, including files and communications, are filed in accordance with established policies and procedures.
- Get outgoing mail ready for mass distributes and posting.
- Keep track of all registered and Docex Tracker mail data.
- Declare the money you got and record it in the register.
- Assemble check addresses and make sure that Docex, regular mail, and registered mail are delivered to the Post Office.
Qualifications
- Matric or Grade 12 certificate
- a current driver’s license with code 10 (EC1/EC).
- Permit for Professional Driving.

- a minimum of one year’s experience working as a driver or messenger.
