What you will do
The primary goal of the job is to manage switchboard, reception, and other administrative duties while facilitating professional communication between Volvo’s customers, the Dealer Network, and Head Office. To carry out the reception and switchboard responsibilities with pride and dignity in an effective manner.
Reporting: This position reports to the Branch Administrator.
Job Objectives
- Become the branch’s public face.
- Help every department.
- Complete control of the switchboard, including answering calls and distributing messages.
- Quickly answer the phone.
- Forward incoming calls to the appropriate extension.
- Make sure that when people are unavailable, accurate messages are taken.
- Welcome visitors or guests.
- Make sure the person being visited is promptly informed, and provide visitors/guests with feedback.
- Handling client queries and complaints.
- Enable the courier services to post documents and items.
- Make sure that Sky Net couriers deliver internal mail to the Dealer Network.
- updating the records of couriers.
- Help when needed with copying, scanning, and faxing.
- general administrative tasks as needed.
Qualification & Job Experience
- Grade 12 / N3.
- Having a background in administration, secretarial work, or reception is advantageous.
- three years of switchboard and receptionist experience.
- strong background in administration.
- knowledgeable in computers.
- comprehension and proficiency with Word, Excel, and Outlook.
